outlook includes a powerful SMS
reminder function that is synchronised with your Outlook Calendar. By entering
and saving a calendar reminder, an appointment or a task, you can elect to have
outlook send you an SMS reminder.
You can also ask outlook to send an SMS to other participants. This
might be meeting attendees or a person to whom you have assigned a task. To
avoid multiple SMS messages going to a participant, these reminders can only be
set by the meeting or task creator.
Configuring your SMS
reminder defaults
outlook includes a series of default settings for the sending of
reminders. To configure or change these options, select Options...
from the main outlook menu. This will open the 'Options' screen. Click on the
Reminders tab and a series of options will be displayed.

Send SMSs for reminders by default
Even if this option is selected, a calendar reminder, an appointment
or task must be created and saved in Outlook for an SMS reminder to be sent.
A second option asks whether you want to send an SMS reminder to all the people
associated with your activity. This might be a calendar reminder, an
appointment or a task.
Over-riding SMS reminder defaults
Aside from being able to change the default settings on the
'Options' screen, you can also individually control SMS reminder settings for
each appointment or task from within our embedded SMS Form.
To view this Form, create a new Calendar appointment. If you are not familiar
with this function, open your Outlook Calendar and double-click on a time. This
will open the Outlook Appointment window. For this example, fill in the usual
appointment details such as Subject, Location and Time, then tick the Reminder
option (to the left of the bell!) that you wish to receive a reminder.
As a next step, click the SMS tab to view the SMS Reminder options.

Within this options screen you can control the sending of SMS reminders for
that specific appointment. In addition to being able to send an SMS reminder to
all the attendees of your meeting, you can add additional numbers. This allows
you to send a reminder to invitees who are not in your Outlook address book or
are not accessible by e-mail.
After you have completed setting your options, click Save and Close
to complete the appointment.
For outlook to send an SMS reminder, Outlook has to be either active
on your computer and your system online to the Internet. Alternatively, you can
synchronise your reminders with our remote server.
Offline reminder
synchronisation
This feature allows you to push your Outlook schedule
appointments to our appointment server. Effectively, when you are connected to
the Internet, you can synchronise your Calendar and Task reminders with our SMS
scheduling application.
After you have disconnected from the Internet and exited from Outlook, your
reminders will be retained on our server and despatched at the appropriate
time.
To activate this function, click the Synch Reminders
button on the main Outlook window or by selecting Synch
reminders to server within the outlook menu.
This will open the Reminder Sync options window. This allows you to set the
date range that you would like your appointments and task to remain on our
server.

At the bottom of the window a sentence is displayed to help you in clarifying
the exact date range that is being sent to our server.
When you are satisfied with your selection, click OK.
This will send an e-mail to our server with your appointment details. This
completes the synchronisation process.
At any time, you can view your scheduled appointments and tasks that reside on
our server by clicking on the button Your outlook account. This
is found on the main Outlook toolbar. This will display your
outlook User Page. From this location click on View your
scheduled messages.
This option displays a summary of your messages and tasks that reside on our
server. To change or delete any of these dates, make the changes in Outlook and
resynchronise once again with the outlook appointment server.
